How to print addendum stickers in-house

Printer, label stock, layout, batch runs, and reprints: a practical setup for dealerships that want to stop ordering pre-printed stickers.

Printing addendum stickers in-house means the dealership produces its own window addendums on demand, instead of ordering pre-printed stickers or hand-writing them. You need four things: a laser printer, adhesive label stock sized for your addendum, a consistent template, and a process for knowing which vehicles still need one.

1. Choose the printer

A monochrome or color laser printer is the standard choice. Laser toner bonds to label stock and resists smudging in sun and humidity better than most inkjet output, which matters for a sticker that may sit on a window for weeks.

When choosing a printer, look for:

  • A straight or manual-feed paper path for heavier adhesive stock, which reduces jams
  • A duty cycle that matches your volume, including busy months when a full truck of new inventory arrives
  • Network printing, so anyone with access can print from the desk where they work

Put the printer close to where vehicles are prepped or checked in. Every walk across the building adds friction.

2. Pick label stock

Addendum labels are usually tall, narrow adhesive sheets that fit beside the factory sticker, or full letter-size sheets for larger layouts. When choosing stock:

  • Match the stock to your printer type. Laser label stock is made to handle fuser heat without curling or lifting.
  • Choose removable or permanent adhesive deliberately. Removable adhesive comes off cleanly at delivery. Permanent adhesive resists weather but can leave residue.
  • Test on real glass, in real weather, before ordering in bulk.

3. Standardize the template

Every vehicle's addendum should share the same layout: vehicle identification at the top, itemized products and prices, totals, and the disclosure block. Consistency makes the sticker easier to read and easier to audit.

If you print a lot, a lighter print mode with light backgrounds and minimal solid fills cuts toner use without hurting readability. QP Addendums prints in three modes: Monochrome, Light Color, and Full Color. See what to include on a dealer addendum for a field-by-field checklist, or get sample addendums in all three print modes.

4. Run a test page and calibrate

Before your first real run:

  1. Print a test page on plain paper and hold it against a label sheet to check alignment.
  2. Adjust margins or scaling until the content sits fully inside the label area.
  3. Print one live label and check that it's sharp, cut correctly, and readable from a few feet away.

Repeat this whenever you change printers or label suppliers.

5. Build a batch workflow

Printing one vehicle at a time works for a few cars a day. It doesn't work when 40 vehicles arrive on the same truck. A batch workflow lets you:

  • Pull up every vehicle that doesn't have an addendum yet
  • Select the group that needs stickers
  • Print them in a single run, in an order that matches how they're parked or stocked

The key is knowing what's pending. Without that list, vehicles go to the lot without stickers and nobody notices until a shopper asks.

6. Plan for reprints

Stickers get damaged, prices change, and sometimes a vehicle gets moved to another rooftop. A good reprint process:

  • Starts from the saved print, not from a blank template
  • Shows exactly what was printed before, so changes are deliberate
  • Keeps a record of both prints

How QP Addendums fits

QP Addendums handles the software side of in-house printing. It pulls vehicles from your inventory, applies your store's products and prices with a fixed disclosure block, and sends print-ready addendums to your printer, one at a time or in batches of up to 250 vehicles. It shows which vehicles are still pending, and every print is saved so reprints come from history.

Prints are unlimited, and every plan ships sticker labels monthly. If you run short, order extra labels in Supplies. See pricing or book a demo to walk through your setup.
