What manual addendums really cost a dealership
Retyping, pricing drift, reprints, and vehicles sitting on the lot without a sticker. A simple worksheet to put a number on it.
Manual addendums rarely show up as a line item, which is exactly why they're expensive. The cost is spread across staff time, pricing mistakes, wasted label stock, and vehicles sitting on the lot without a sticker. Here's where it comes from, and a worksheet to estimate it for your store.
Where the cost comes from
1. Time spent building each sticker
In a manual process, someone looks up the vehicle, copies the VIN and trim, opens a template, types the products and prices, checks the math, and prints. Multiply that by every new arrival, every price change, and every damaged sticker.
2. Pricing drift
When product prices live in a spreadsheet, a binder, or someone's memory, they drift. Two vehicles with the same package carry different numbers. A price increase gets applied to some stickers but not others. Each inconsistency is either lost revenue or an awkward conversation with a buyer.
3. Errors and reprints
A mistyped VIN, a wrong trim, or a missing product means another print and another sheet of label stock. If the original isn't saved, the reprint is a full rebuild.
4. Vehicles without stickers
New inventory that reaches the lot without an addendum is shown at a price that doesn't reflect the products installed on it. Unless someone keeps a running list, these vehicles are easy to miss.
5. Inconsistent disclosures
When wording gets retyped or edited per vehicle, it varies. That inconsistency is hard to see day to day and becomes a real problem when a buyer, a manager, or a regulator asks what was on a specific sticker. Here's why that matters in 2026.
A simple worksheet
Fill in your own numbers:
| Input | Your store |
|---|---|
| A. Addendums printed per month | |
| B. Minutes to build one manually | |
| C. Loaded hourly cost of the person doing it | |
| D. Reprints per month | |
| E. Vehicles per month that reach the lot late or without a sticker | |
| F. Average addendum total per vehicle |
Monthly labor cost ≈ (A + D) × B ÷ 60 × C
Revenue at risk ≈ E × F × the share of those vehicles that sell without the add-ons being presented
Compare the monthly labor figure against what addendum software costs, then add revenue at risk on top. Use your own inputs. The point is to put a real number on a cost that usually goes unmeasured.
What changes with addendum software
Software doesn't make the stickers. It removes the steps that cause the cost:
- No retyping. Vehicles come from inventory by VIN or stock number.
- No drift. Products and prices are set once per store and applied every time, and the disclosure block reads the same on every sticker.
- No missed vehicles. A pending list shows every vehicle still waiting for an addendum.
- No rebuilds. Every print is saved and can be reprinted from print history.
- Batch runs. A truckload of new inventory, up to 250 vehicles, gets printed in one go.
